The Jones Payne Group is hiring a Project Administrator for our Seattle office. Candidates should be proactive; possess strong organizational and interpersonal skills; be capable of working independently and collaboratively within a team setting; and based on experience and under the supervision of Senior Leadership, be able to manage multiple projects simultaneously.

Working with us, you will:

  • Provide project administrative support to our Architecture studio, including development of contracts and subcontracts; reviewing spreadsheets; coordination with subconsultants and clients; and maintain subconsultant required contract documents and insurance certificates.
  • Generate and manage correspondence between our firm, clients, and subconsultants to manage the administrative needs of a project.
  • Provide administrative support services, including creating and modifying business documents, such as memos, letters of transmittal, spreadsheets, and electronic files; perform general clerical duties, including managing filing systems and electronic documents; attending meetings and preparing meeting minutes; and assisting with site visits as needed.
  • Collect, review, and verify employees’ weekly timesheets and summarize the data.
  • Provide administrative support to the Director of Architecture and local bookkeeper.
  • Tracking local and state requirements for diverse and small business contract participation.
  • Provide oversight of daily office operations and timely delivery of project deliverables.
  • Coordinate with staff at other office and remote locations.

Ideal candidates should have:

  • High school diploma required; college degree preferred. Previous working experience in an architecture/engineering firm helpful but not required.
  • Proficiency with Microsoft Office, particularly Word, Excel, and PowerPoint. Knowledge of Adobe InDesign and Photoshop helpful.
  • Excellent communication skills. You will prepare and proofread a variety of documents and interact frequently with other employees and clients – good grammar and the ability to express oneself clearly in written and oral communication is important.
  • Ability to maintain an approachable, positive, and friendly demeanor and work with competing priorities and demands.
  • Strong interpersonal skills and the ability to work effectively in a fast-paced environment with a broad range of people and personalities.
  • Keen attention to detail and willingness to ask questions.
  • Eagerness to learn, collaborate, and contribute to increasing scope as you widen your experience and knowledge base.

Preference will be given to candidates who are local to the Seattle area. U.S. citizenship required. Visa sponsorship is not available. This is not a remote or hybrid position.
