Office Manager

This Office Manager position offers the opportunity to engage in challenging work within an energetic and highly collaborative architecture firm. In practice for over 25 years, rho specializes in highly crafted, creatively conceived, high-end custom homes. We are seeking an office manager and accounting specialist to join our team. We currently have a staff of 9 architects and design professionals. The ideal candidate will have applicable experience in an architecture or engineering firm, or related industry. Over the last 3 years we have honed many of our systems with our outgoing office manager.

Key Responsibilities

Accounting:

  • Initiate monthly project billings, including setting up new projects in timekeeping and accounting systems, generating invoices and sending to clients.
  • Full-cycle accounts receivable, including check deposits.
  • Full-cycle accounts payable, including processing vendor invoices and reconciling vendors statements.
  • Payroll preparation and processing
  • Bank and account reconciliations
  • Work with external CPA on tax returns and other items
  • Handle office related expense management, processing and approving expense reports for staff
  • Manage taxes, IRS payments and quarterly tax returns.
  • Prepare and track monthly P&L statements and accounts receivable.

Administrative support:

  • Manage Health Insurance decisions and coordinate employee health insurance changes
  • Manage Liability and Business Owner’s insurance renewals and updates
  • Manage employee onboarding/offboarding
  • Manage and track terms of employment for staff
  • Employee benefits coordination and tracking
  • Manage professional software licensing and IT consultant
  • Liaison between rho and building management to ensure office is clean, functional, safe and secure.
  • Manage office equipment purchases and maintenance
  • Point person for mailing, shipping and general office supplies, bills and errands.
  • Help plan and coordinate office functions and events.
  • Manage voicemail system
  • Other duties as assigned or mutually agreed upon

Desired Background and Skills:

  • Minimum of 2 years of experience in a business setting providing accounting related tasks (required)
  • Proficiency with Microsoft Excel and Office Suite (required)
  • Experience using Quickbooks
  • College degree in accounting, business, or related field.
  • Time management and ability to meet deadlines
  • Good verbal and written communication skills
  • Strong organizational skills and ability to multitask
  • Problem-solving and decision making
  • Proactivity and self-direction
  • Interpersonal skills

A hybrid of in-office and remote work is negotiable, but regular in-office hours will be required. This is assumed to be a half-time position. Hours are negotiable based on candidate’s experience, ability, and availability. Competitive compensation will be determined based on candidate’s experience and hours.
