Project Administrative Assistant

We seek a Project Assistant in our Seattle location who is team-oriented, proactive and highly organized. This in-office position serves as a “go to” for project teams and requires superior organization skills, attention to detail, flexibility and the ability to meet tight deadlines while juggling multiple requests. Our operations team keep everything running smoothly, whether we’re helping our internal team navigate project management software, organizing client meetings or keeping our office space in order. We work hard, and balance that rigor with a healthy dose of fun.

Project Assistant – 70%

  • Initiate and coordinate processing of AIA and other contract documents
  • Support project managers with billing edits, staffing plans, project reporting and contract management in Deltek Vision
  • Assist project teams with travel arrangements and seamless meeting logistics such as coordinating schedules, video conferencing and meeting minutes
  • Project specification collating, editing and packaging with Bluebeam Revu for final deliverable/distribution
  • Support leadership calendar management, client-visit coordination and expense reports
  • Maintain an organized system of tracking, monitoring and prioritizing tasks and projects

Operations/Facilities – 30%

  • Daily backup for Concierge, including answering phones and greeting staff and guests
  • Help maintain common spaces aesthetics and function
    Meetings and event coordination (coffee service, catering, etc.)


  • Minimum of five years of office administrative experience
  • Prior experience in architecture, construction, engineering or related fields is preferred
  • Ability to think ahead and troubleshoot; remove obstacles before they become problems
  • Strong interpersonal and communication skills to successively support diverse creatives
  • Enjoy working in a collaborative environment with team-oriented mindset
  • MS Outlook, Word and Excel expert
