Kolbe Gallery Seattle is seeking a motivated individual with proven technical and communication skills to fill our Project Coordinator position. This person will demonstrate leadership, strategic planning and strong organization skills while working amongst the office team to support the production side of the business.

This key role will involve working with management on continuous improvement initiatives and developing and maintaining strong relationships with your team members on both the sales and production side. Kolbe Gallery Seattle, located in the heart of Seattle’s design district, is an exclusive factory direct product distribution showroom that provides wide range of products and services to the architectural community, designers, contractors, and their clients.

Job Summary:
Under the direction of the management team, The Project Coordinator is responsible for coordinating all projects including new product orders, installations, and servicing of projects to completion. Working alongside the sales team and lead installers on the upfront planning and scheduling, customer communication while overseeing the management systems and schedule for the installation and service technicians in the field.

General Responsibilities:

  • Commit to becoming a Kolbe product expert who will be a technical resource for our team and our customers
  • Review and organize order documents for new product, installation, and service orders from sales teams
  • Review projects budgets and labor allocations with management and sales teams for tentative scheduling
  • Work alongside accounting team to confirm signed paperwork and payments received for final scheduling.
  • Organize project details, schedule, and support system for field Installation/Service team to provide visibility using BuilderTrend Project Management system.
  • Coordinate and host bi-weekly production meetings and update any information as necessary for all involved team members to ensure accurate coordination for the business needs.
  • Coordinate and communicate tentative then finalized dates of all product deliveries, installation, and service to customers.
  • Daily communication with field workers and facilitate action on upcoming projects and services to completion.
  • Communicate to installers and sales team on future projects. Work alongside management team for any additional labor needs and subcontractors.
  • Assist in maintaining office and showroom organization, ordering of stationary and other office necessities.
  • Assist sales team in service orders and project completion plans
  • Place orders through ProQuote ordering system for service and parts orders.
  • Assist sales team on warranty replacement parts, and labor reimbursement for credit.
  • Attend and administrate bi-weekly meetings with management and lead installers to review installation and service projects.
  • Assist in ordering warehouse stock parts and components, Kolbe Gear, and marketing samples from supplier through ProQuote and


  • Proven written and verbal communication skills, as well as exceptional organizational skills.
  • Proven ability to learn and adapt to new software and technologies efficiently
  • Comprehensive understanding of architectural plans, details and the building industry
  • Proficient in using MS Office (Excel, Word, and PowerPoint).
  • Proficient in Adobe Creative Suite (Photoshop, InDesign)
  • Strong ability to do effective research of our industry and customers.
  • A team player with strong interpersonal skills with the ability to communicate both internally and externally.
  • Positive attitude, self-motivated and ability to multi-task while maintaining strong attention to detail.
