Tiscareno Associates is looking for an experienced, highly organized and self-motivated Bookkeeper and Human Resources Coordinator for our mid-size architectural firm. The Candidate will support our Accounting/Operations Manager to perform bookkeeping and HR tasks. The ideal candidate will have an excellent sense of organization and complete knowledge of QuickBooks, Core and Microsoft Office applications, and will possess strong written and verbal communication skills. The candidate should be great with people and an enthusiastic supporter of our office culture.


Job responsibilities would cover, but are not limited to, the following:


Bookkeeping tasks
Enter income and expenses using QuickBooks online
Maintain bookkeeping records
Organize and track project numbers and employee timesheets
Process monthly client invoices
Enter, track, and process payment for consultant bills
Process accounts payable and accounts receivable
§  Must have three years’ experience.


Office Manager tasks

Administration of employee benefits
Coordinate technical support and other services needed by staff
Purchase and maintain inventory of office equipment
Responsible for managing a variety of office administrative support activities.
Maintain professional certifications and certificates of insurance
Assist the principals, staff, or marketing manager as directed
Front desk administrator, includes greeting visitors and providing for meeting needs
Maintain kitchen and conference room areas
Maintenance of PPE
Maintenance of company cars
Organize and maintain architecture samples library with architectural staff
Office event preparation (happy hour, holiday party)
HR Admin tasks:

§  He/she is involved in all levels of administration via roles like recruitment and relationship among employees.

§  HR coordinator

§  Coordinate the interviewing, screening, recruitment, and appointment of staff as at when necessary

§  Maintain company database and make sure that it is always up to date

§  Prepare job descriptions before job ad placement is made both for recruitment

§  Sort applicants’ resume to select the most qualified candidates for jobs being offered.


The position is 40+ hours per week, 5 days a week. Minimum 2 year commitment is requested. The ideal candidate will have experience with QuickBooks accounting software and a time-tracking and billing software, such as BillQuick or Core. Project management account experience is advantageous. The candidate shall have a 4-year college degree. A valid driver’s license is required. The candidate will be required to fill out a background check form.
